Camp 2030 | 2024 Participation Agreement: Terms & Conditions

AGREEMENT BETWEEN PARTICIPANT AND INTERNATIONAL DEVELOPMENT HOUSE (“UNITE 2030”)

Each individual applying to participate in Camp 2030 taking place in New York on September 9 - 14, 2024 shall be bound by these terms and conditions (“Terms”), and these Terms shall form the agreement between International Development House (“UNITE 2030”) and each participant to the Camp 2030 (“Participant” or “you”).


PLEASE READ THE FOLLOWING TERMS CAREFULLY BEFORE APPLYING FOR CAMP 2030. By applying and/or registering for Camp 2030, you agree to these Terms. If you do not agree to these Terms you may not be eligible to participate in Camp 2030. You also represent and warrant that you are of legal age to agree to these Terms and that all registration information you submit is accurate and truthful. UNITE 2030 may, in its sole discretion, refuse to offer Camp 2030 services to any person and change its eligibility criteria at any time. This provision is void where prohibited by law and the right to access Camp 2030 is revoked in such jurisdictions.

A.  INDIVIDUAL APPLICATION AND PAYMENT TERMS

  1. Applications: Spaces for Camp 2030 are limited. Applications will be reviewed on a rolling basis by UNITE 2030 staff or UNITE 2030’s officially designated representatives. Admission is based on the following Camp 2030 eligibility criteria:

  2. Age Requirements: Individual applicants must be at least 18 years old or a maximum of 35 years of age on the first day (September 9, 2024) of Camp 2030. UNITE 2030 may authorize older groups of Participants at our discretion.

  3. Visas: Before attending Camp 2030 in New York, you must secure an appropriate visa according to the applicable requirements of the United States. It is the sole responsibility of the Participant to secure the appropriate visa needed to attend Camp 2030. UNITE 2030 may issue an invitation to apply letter, or a letter confirming acceptance as a Camp 2030 Delegate for the purposes of supporting a visa interview. Supplementary letters are provided only after the full balance of registration is paid. UNITE 2030 is not able to support the applicant or delegate in any other way during their visa application and interview scheduling process. 

  4. Registration Fee: At the time of your application to Camp 2030, you will be asked to pay a registration fee (“Registration Fee”). The “Early Bird” Registration Fee of $2,000 USD is for applicants who apply between October 16th, 2023, and November 1st, 2023. UNITE 2030 reserves the right to place a cap on the number of participants per Registration Fee. General Camp 2030 Registration Fees start at $2,250 USD. 

  5. Deposit Requirement: All participants of Camp 2030 are required to make a non-refundable deposit of $500 USD ("Deposit") within the days indicated in their selection days to reserve their slot. This non-refundable Deposit is part of the Registration Fee.

  6. Balance Payment: The remaining balance of the selected package, after deducting the Deposit, must be paid in full within 60-90 days of the initial Deposit payment or before June 1st. Failure to make the balance payment within the specified time frame will result in the forfeiture of the Deposit and the cancellation of the Camp 2030 reservation.

  7. Payment Method: All payments should be made through methods specified by UNITE 2030, which will be communicated to the participants upon acceptance of their application.

  8. Additional Charges: Any additional charges, including but not limited to optional activities, excursions, merchandise or services availed by the participant during Camp 2030, will be billed separately and are not included in the Registration Fee.

  9. Non-payment Consequences: If the balance payment is not received within the stipulated time frame, UNITE 2030 reserves the right to cancel the participant's application and registration, and the Deposit will be forfeited. No Camper will be registered before receiving the full Registration Fee.

  10. Transfers: For accepted applicants (those that receive a written notice from UNITE 2030 that their application has been accepted) the Registration Fee is non-refundable and non-transferable, except as provided herein.

  11. Group Applications: It is possible to submit an individual application or a group application for groups of three (2) individuals or more. See delegation partner webpage for more group requirements. Deposit fees for group applications are billed upon application, with the same 60-90 day payment terms as provided herein or before June 1st.

  12. Group Application Deposits: For applicants whose group application is rejected, the paid Deposit will be refunded.


B.  CANCELLATION BY PARTICIPANT

The Registration Fee is non-transferable (you cannot transfer it to another person, or to a future edition of Camp 2030) and, except as provided below, it is non-refundable in the event of cancellation by the Participant for any circumstances and reasons whatsoever.  These circumstances and reasons may include, but are not to be limited to, medical conditions, family conditions, impossibility to travel due to Covid restrictions or any other government restriction, issues related to visa applications, etc.  Upon submitting application forms and paying the Registration Fee, UNITE 2030 reviews, processes, and may accept those applications.  In return for this service, accepted applicants may not request a refund or credit or dispute the charges before, during, and after Camp 2030, except for receiving partial refunds of the Registration Fee as listed below.

  • On or before December 31, 2023 (11:59 pm EST time): 75% of the Registration Fee, less non-refundable deposit;

  • On or before February 1, 2024 (11:59 pm EST time): 50% of the Registration Fee, less non-refundable deposit;

  • On or before April 1, 2024 (11:59 pm EST time) 25% of the Registration Fee, less non-refundable deposit;

  • After May 1, 2024 (11:59 pm EST time) No refunds available 

Note: Written Cancellation Notice has to be provided by filling out the Withdrawal form, providing your name, email address, and reason for cancellation. Cancellation via any other means is not accepted as a legitimate form of cancellation.

C. CANCELLATION BY UNITE 2030

UNITE 2030 may cancel the in-person Camp 2030 at any time if it determines that it is not possible to hold the in-person event due to circumstances beyond its control, including but not limited to acts of God, strikes, riots, natural disasters, pandemic, war, crime, sickness, threats of terrorism per US Department of State Advisories, governmental acts or omissions, changes in laws or regulations or other events that UNITE 2030 determines would result in unsafe travel conditions or would not allow UNITE 2030 to safely offer Camp 2030 services in-person. In this case the Registration Fee is non-refundable. UNITE 2030 will provide an online alternative format for Camp 2030, the schedule and log in information will be shared with Camp 2030 Participants after notice of cancellation of the in-person Camp 2030. Camp 2030 Participants that wish to attend the online Camp 2030 format will be responsible to have the adequate technical equipment required to join, including access a computer, smartphone or other digital device with an integrated webcam and mic plus a stable internet connection to take part in the online live sessions and other content that may be made available. 

D.  TERMINATION

UNITE 2030 can terminate the participation of any Participant in Camp 2030 if UNITE 2030 or its agents or representatives deem said Participant to be detrimental to Camp 2030 or to the reputation of UNITE 2030 itself, or if the information provided on the application form or any other form is deemed fraudulent. In this case the full Registration Fee is non-refundable and UNITE 2030 shall have no responsibility for any expenses incurred by any such Participant. UNITE 2030 reserves the right to expel any Participant for disruptive behavior at any point during Camp 2030 as deemed appropriate by on-site UNITE 2030 staff and volunteers (or online moderators in the case of online Camp 2030 format). All consequential costs of Participant expulsion shall be borne by the Participant without recourse to refund of unused Camp 2030 benefits.

E.  RESPONSIBILITY OF PARTICIPANTS

  1. Travel Insurance: Campers are required to obtain travel insurance, and responsible for ensuring that they have appropriate travel insurance in place and have received any required or recommended vaccinations in order to attend Camp 2030.

  2. Safety & Security: UNITE 2030 cannot guarantee the safety and security of Campers during attendance of Camp 2030. Campers are responsible for ensuring their own safety and security during Camp 2030 and in respect of any travel in connection with the Summit and whilst spending time on camp or in New York City. UNITE 2030 disclaims any liability for loss or damage to Campers or their property, including bodily injury or death, unless solely attributable to the gross negligence of wilful misconduct of UNITE 2030 or one of its employees or volunteers acting in their employment function. 

  3. Views: The views expressed by the speakers or attendees of Camp 2030 are their own and UNITE 2030 disclaims all liability for advice given or views expressed. Documentation distributed is intended for information only and should not be relied upon.

  4. Photo/Video Release: Please note that for promotional purposes, the Summit or any part of it may be recorded by audio, visual or electronic means (“Footage”). You agree and you agree to procure Campers’ agreement to permit UNITE 2030 to use and distribute such Footage, which may feature Campers’ voices and images, in all or any media.

E. MODIFICATION OF AGREEMENT & SUBSTITUTIONS

UNITE 2030 reserves the right to modify these Terms, including Camp 2030 services and costs, if UNITE 2030’s anticipated expenses are affected by unforeseen monetary fluctuations, changes in costs of services and accommodations, changes in transportation tariffs, or other circumstances beyond the control of UNITE 2030. In this event, UNITE 2030 shall provide notice as soon as practicable to the Participant. If such changes result in a Fee increase that exceeds 10% of Camp 2030 Fee, the Participant may cancel the contract and request to receive a refund of the payments made by the Participant to UNITE 2030, minus any out of pocket expenses paid by or to be paid by UNITE 2030. 

F. LIMITATION OF LIABILITY

In the event that Camp 2030 meeting venues, activities, conference agenda, or any other parts or all of Camp 2030 are changed, delayed, postponed, canceled, or otherwise not provided, UNITE 2030’s liability is limited to the provision of such substitute or supplementary venues, and/or services as can be secured or provided at no additional cost to UNITE 2030. UNITE 2030 shall have no responsibility in refunding to the Camp 2030 Participant due to such change, nor for any expense that may be incurred by the Participant due to such changes. UNITE 2030 may refund to the Camp 2030 Participant any amount that UNITE 2030 is able to obtain as a refund from the service provider for the lost services. 

IN NO EVENT WILL UNITE 2030 OR ITS AFFILIATES OR ANY OTHER PERSON OR ENTITY BE LIABLE TO THE Camp 2030 Participant FOR ANY CONSEQUENTIAL, INCIDENTAL, EXEMPLARY, PUNITIVE OR SPECIAL DAMAGES, INCLUDING ANY LOSSES RELATING TO PARTICIPANT, SUCH AS LOST DATA, LOST PROFITS, BUSINESS INTERRUPTION, OR LOST SAVINGS.  SOME STATES OR JURISDICTIONS DO NOT ALLOW THE EXCLUSION OR LIMITATION OF INCIDENTAL, CONSEQUENTIAL, OR SPECIAL DAMAGES, SO THE FOREGOING LIMITATIONS MAY NOT APPLY. IN NO EVENT SHALL THE TOTAL LIABILITY TO THE Camp 2030 Participant (WHETHER IN CONTRACT, TORT, INCLUDING NEGLIGENCE OR OTHERWISE) EXCEED THE FEE PAID BY THE Camp 2030 Participant FOR Camp 2030.

G.  PROPERTY DAMAGE

UNITE 2030 shall not be responsible for any property belonging to the Camp 2030 Participant that is lost or damaged during the course of Camp 2030.  Further, the Participant understands that he/she is responsible for, and shall indemnify UNITE 2030 against, any and all claims made against UNITE 2030, its agents and representatives, for damage to property caused by any Participant during Camp 2030.

H.  CREDIT

Participant agrees to credit UNITE 2030 prominently in any publicity, brochures, films, videotapes, exhibitions, visual materials, or other materials that the Participant may be authorized by UNITE 2030 to produce or distribute in connection with Camp 2030. Such credit shall be listed or mentioned separately from any other recognition of support, e.g., “This photo/video was taken during Camp 2030, a project of UNITE 2030.”

I.  WAIVER OF LIABILITY

Participant agrees that UNITE 2030 shall not be responsible for, and Participant hereby waives any claim against UNITE 2030 for, and releases UNITE 2030 from, any liability of any nature whatsoever for loss (including additional expenses caused by delays and/or changes in meeting venues, activities, conference agenda or other services), damages (including consequential damages), or injury to property or persons due to any cause whatsoever, including, without limitation, any act, omission or negligence of any hotel, airline, bus company, railroad or owners or contractors providing accommodations or other services, occurring during the duration of Camp 2030, except for claims based on the willful misconduct and/or gross negligence of UNITE 2030.  Nor shall UNITE 2030 be responsible for any loss, cost, damage, injury, delay or expense arising from acts of God, strikes, weather, war, civil disorder, crime, sickness, pandemics, or other events beyond the control of UNITE 2030 and any loss or expense arising from the above contingencies shall be borne by the Participant involved.

J. INDEMNIFICATION

In connection with Camp 2030 and the conduct thereof, Participant agrees to indemnify and hold UNITE 2030, and its agents, affiliates, officers, employees, volunteers and directors (the “Indemnified Party”) harmless from and against any and all loss, liability, claim, suit or demand, including reasonable attorney’s fees arising there from, which may be asserted against the Indemnified party by any person or organization on account of the Participant’s involvement with Camp 2030, except if such loss, liability, claim, suit or demand is based on UNITE 2030’s willful misconduct and/or gross negligence.

K.  CHOICE OF LAW

These Terms and their performance shall be governed by and in accordance with the laws of the State of New York, exclusive of any choice of law rules, and that law shall be applicable to the merits of any dispute between the parties.

L.  ARBITRATION

All disputes arising in connection with these Terms shall be settled under the Rules of the American Arbitration Association.  The place of arbitration shall be in New York City.  The arbitration shall be conducted in English. No consequential, punitive or incidental damages shall be awarded to the parties by the members of any arbitration tribunal hearing a case in respect to this Agreement.

M.  AGREEMENT

This Agreement, along with the notice of payment schedule, encompasses the entire agreement of the parties, and supersedes all previous understandings and agreements between the parties, whether oral or written.
